Job Summary: We are seeking an organized and proactive Senior Administrative Assistant to support our Leadership Team and Aviation Department. The ideal candidate will provide administrative support to ensure the efficient operation of the department. This role requires excellent communication skills, attention to detail, and the ability to work in a fast-paced environment.

Responsibilities:

  1. Administrative Support: Assist in day-to-day administrative tasks such as managing correspondence, scheduling meetings, preparing reports, and maintaining departmental records.
  2. Front Desk Coverage: Cover front desk during receptionist lunch and PTO.
  3. Project Coordination: Coordinate project-related activities such as maintaining project files, tracking deadlines, and assisting in project documentation and reporting.
  4. Communication: Serve as a point of contact for internal and external communications pertaining to various areas of business. This includes fielding phone calls, responding to inquiries, and liaising with other departments or external partners.
  5. Documentation: Prepare and edit documents, including contracts, proposals, presentations, and project updates.
  6. Data Management: Maintain and update departmental databases, spreadsheets, and electronic filing systems. Ensure accuracy and completeness of data.
  7. Logistics Support: Assist in coordination for travel plans, board meetings, investment meetings, state of the company and employee meetings.
  8. Financial Administration: Assist in processing departmental invoices, credit card statements, and expense reports.
  9. Compliance: Ensure compliance with company policies and procedures, as well as regulatory requirements.

Requirements:

  • Proficiency in MS Office (MS Excel and MS PowerPoint, and Outlook).
  • Excellent time management skills and the ability to prioritize work.
  • Attention to detail and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Strong organizational skills.
  • Valid Driver's License and available vehicle to drive locally.

Working Conditions:

  • This position operates in an office environment.
  • Prolonged periods of sitting at a desk and working on a computer.
  • Regular working hours are 8:30-5:00, Monday to Friday, with occasional overtime as needed to meet deadlines or support project needs.
